The role of Excursions Manager is directly concerned with the welfare and enjoyment of overseas students. This requires the post–holder to take overall responsibility for the preparation, operation and outcomes of the off-site excursions and airport transfer arrangements both to and from the school. There is a strong reliance on team management as the Excursions Manager is responsible for all staff leading the excursions and transfers.
The Excursions Manager will be extremely responsible and able to organise their fluctuating workload. They will be capable of leading a team, working in a pressurised environment to deliver a high-quality and cost-effective leisure programme. The Excursions Manager will be pro-active in their approach to achieving high participation in all aspects of the leisure programme, complying with health and safety requirements and meeting the professional standards expected from LAL’s students and agents.
Summer School Centre Manager
Hours of Work/Contract Type:
Your normal hours of work are 48 per week over a six day week with a 60 minute unpaid break each day. You may be required to work additional hours when requested to meet the needs of the business. This position involves working at weekends and other unsocial hours.
Main Responsibilities and Tasks:
People Management Responsibilities
To manage the activity team (Leisure Coordinators, Activity Leaders, House Parents and Teachers) in conjunction with the Activity Manager to ensure the smooth delivery of the LAL Summer School programme as sold by Head Office, including:
- Training the activity team in accordance with LAL policies and procedures; ensuring that all staff meet the standard expected of them.
- Working closely with the Activity Manager and any Leisure Co-ordinators, sharing tasks in order to ensure the delivery of a well-organised, well-structured leisure programme.
- Briefing activity staff on all aspects of their responsibilities, including detailed briefings in advance of each excursion or transfer.
- Ensuring the activity team have the information and equipment they need in order to perform their roles well, including cultural information for excursions and important health and safety information (e.g. risk assessment).
- Managing the suitable allocation of staff to activities, excursions and transfers in liaison with other senior members of summer school staff.
- Monitoring activity staff to ensure they are engaging with students and International Group Leaders to deliver a well-planned and well-executed leisure programme which meets LAL policies and procedures.
- Seeking feedback from staff, students and International Group Leaders on the leisure programme, putting strategies in place to constantly improve the team’s delivery.
- To take responsibility for all aspects of planning and delivering of a successful excursion and transfers programme.
- To be apprised of all planned excursions and transport information from LAL Head Office, the host school and outside agencies to guarantee a smooth operation.
- To follow and/or, where necessary, adapt the prescribed leisure programme in full, liaising with Head Office if changes need to be made.
- To liaise with suppliers (e.g. transport, leisure venue providers, on-site facility managers, catering, school maintenance, etc.) during the set-up period and throughout the contract to guarantee the smooth and safe operation of all excursions and transfers.
- To liaise with the Welfare Manager and Centre Manager in arranging where required transport for students staying in Host Families.
- To be responsible for the promotion and booking of optional excursions, ensuring maximum profit is made.
- To be responsible for the taking of monies from International Group Leaders or individual students for optional excursions.
- To maintain financial and administrative records of all excursion and transfer-related bookings, working with the Office Manager (if any).
- To understand and be conversant with LAL Risk Assessment methods and conclusions including completing new Risk Assessments and updating current ones.
- To ensure, when not on duty, that the Excursion Coordinator and/or Activity Manager are apprised of all necessary information.
- To deputise for the Centre Manager as required.
- To hold the school’s emergency phone as required.
- To be responsible for co-ordinating arrival and departure airport transfers.
- To liaise with Head Office and the Centre Manager to oversee smooth airport transfers to and from the centre, including re-confirming and/or booking transfers transport as assigned by the Summer Schools Transfers Department.
- To liaise with transport provider, catering and administrative staff in advance and during the term of hire to guarantee the smooth and safe operation of all transfers.
- To deal with the allocation of staff to the transfers programme.
- To liaise with the Welfare Manager and Centre Manager in arranging transport where required for students staying with homestay hosts (for example: post River Boat Disco).
- To take an active role in the activity programme when required.
- To work with the Activity Manager, Centre Manager and LAL Head Office to ensure the leisure rota is adequate for the needs of the leisure programme.
- To cover for the Activity Manager as necessary.
- To be fully engaged with students and International Group Leaders in the rigours of summer school work, providing excellent customer service while delivering the LAL Summer School product.
- To consistently ensure the welfare of the students remains paramount.
- To live on-site, board and lodging provided as part of the salary package, from four days prior to the start of the course to attend induction training, until the end of the last contracted day.
- To carry out all tasks concerned with the setting up, administration and closing down of the course as advised by line management.
- To address any student, International Group Leader or host site representative issues, complaints or suggestions by ensuring that the relevant LAL staff are made aware.
- To act in a friendly and professional manner with all of LAL’s agents, clients and staff and not to engage in any activity which may bring LAL or the designated host school into disrepute.
- To assist all students, International Group Leaders and LAL agents to derive the maximum benefit from the course.
- To follow all LAL policies and procedures, including but not limited to dress code, safeguarding, maintaining student discipline and avoiding loss and/or damage to LAL property or property belonging to the host school.
- To read and be fully conversant with all training materials relating to the role, and all pertinent British Council Accreditation requirements, prior to the start of the period of employment.
- To both lead and attend all required meetings with staff, fellow senior staff, International Group Leaders and host site representatives.
- To assist students in being on time for meals, transport and all excursions, including supervising at meal times on a rota basis.
- To assist Welfare Manager and House Parents where necessary, in ensuring students are in their accommodation on time and in bed.
- To be flexible to carry out any other duties as may be reasonably assigned by the Summer School management team, either in centre or at Head Office.
- Educated to A level or equivalent to UK level 4 education
- Computer literate with emphasis on Microsoft Word, Outlook & Excel
- A good understanding of child welfare (A/I)
- Very good level of spoken and written English (CEFR B2 minimum, e.g. FCE/IELTS 5-6.5)
- NVQ (National Vocational Qualification) or equivalent in a relevant discipline
- Educated to degree level standard
- First aid / lifeguarding qualification
- Driving license
- Experience in a summer school environment
- Experience working with young people
- Previous experience in logistics / managing programmed activities
