Transfers Co-ordinator

To be responsible for all elements involved with the effective and efficient co-ordination of the summer schools student transfers to and from each site.

  • To carry out all tasks concerned with the setting up, preparation and administration of summer schools transfers.
  • To ensure all requests to/from internal staff are issued/responded to in a timely manner to guarantee schools are able to deliver smooth transfers.
  • To produce the relevant documentation for the transfers department including estimates summaries, transfers schedules, Activity Leader schedules and Transport Schedules.
  • To run and check reports on ‘Infospeed Class’ as required.
  • To chase flight details as required.
  • To book all required transport directly with suppliers for all arrivals and departures at all schools.
  • To complete the relevant financial spreadsheets required (Reconciliation sheets)
  • Any other reasonable task that the line manager assigns


Person Specification:



  • A Level Standard or equivalent
  • Native English speaker or native standard level of spoken and written English (equivalent to IELTS 8.0)



  • Experience with being responsible for budgets and large sums of money
  • Experience of working within a team


Skills, Knowledge and Abilities

  • Computer literate with good knowledge of Excel spreadsheets
  • Very strong knowledge of bookings systems and procedures.
  • Have a head for figures and be good with numbers
  • Excellent communication skills including a professional telephone manner
  • Ability to work calmly and effectively under pressure and to tight deadlines
  • Meticulous and logical approach to work
  • Attention to detail
  • Ability to multi-task

  • NVQ (National Vocational Qualification) or equivalent in a relevant discipline
  • Educated to degree level or equivalent
  • First Aid certificate



  •  1 years’ experience in a senior role directly concerned with the service industry or similar

  • Good working knowledge of at least one foreign language
  • Able to maintain consistent performance
  • Good knowledge of London airports
  • Planning of resources/scheduling background
